How do I get analytics by email or PDF?

Set up the weekly summary email and scheduled PDF reports, or export PDF/CSV snapshots on demand.

Emailed reports are configured on the Reports page's Emailed reports tab — the page is in the sidebar under Money, beside Payments and Analytics, and it also holds your sales, fees, refunds and VAT figures and the monthly pack for your accountant (see Reports and your monthly accounts pack). The tab is ONE list — a row for every report ResoFlow can email you: the Weekly summary email, the Scheduled PDF report, the Monthly pack email, the Daily takings email, the Monthly gift card summary (covered in the gift cards guides) and the Monthly offers and loyalty summary. Each row shows what the email is, when it goes and when it was last sent, with an on/off switch, Send now, See an example (the real email with sample figures) and Day and recipients, which opens a side panel. A report your plan doesn't include stays in the list with a lock naming the plan. The Daily takings email row shows whether the daily email is on and links to where it's switched on: Orders → Settings → Daily sales email, on every plan. (One-off exports live in the Analytics Export menu instead — see the analytics guide.) On venues whose plan doesn't include the analytics suite, the other product report cards live with their product instead: the gift card summary on the Gift Cards page's Selling & settings tab and the Offers & Loyalty summary on the Loyalty page's Summary tab.

The Reports page's VAT tab carries the "VAT summary" card — sales per VAT rate and the VAT inside them for a chosen period (This week / This month / Last month / Last quarter / This year, or a Custom range), covering Order & Pay orders, pre-orders, paid-in-full bookings, extras and event tickets, with a CSV download. Refunds are deducted where the refund recorded its VAT rates, in the period the refund happened — so a period's figures stay final once it ends, and a quiet period can show a line below zero when it carries a refund for an earlier sale. Refund money without a rate record, or with no date recorded, is named and NOT deducted, and money with no VAT rate set is listed separately — never guessed. Deposits and no-show fees deliberately carry no VAT. Venues without a VAT number saved (Settings → Payouts and Stripe → VAT receipt details) see an explanation rather than zeros.

The Monthly Offers & Loyalty summary is a once-a-month round-up of your promotions and loyalty scheme covering the previous calendar month: promo code redemptions, discount given, new loyalty members, and rewards redeemed — with a "Rewards given £X" figure whenever redemptions carried a value, and an honest caveat counting any unpriced redemptions. Like every report email it is switched off until you turn it on — it is the last row of the Reports page's Emailed reports list. A month with no offers or loyalty activity sends nothing. Available on Pro plan and above, or with the Loyalty product.

Recipients are set ONCE, at the top of the list: Send reports to takes up to 5 email addresses, and with nobody there reports go to the account owner's email. Any report can have its own list instead — open its Day and recipients panel and add addresses under Send this report somewhere else; leave it empty to use the shared list. A list you saved for one report before this change is kept exactly as that report's own list. Changes are saved with the Save changes bar at the bottom of the page. Every report also has a real Send now button that sends the actual report to its recipients immediately (Send now is unavailable while you have unsaved changes, and manual sends are limited to 3 per hour per report). The Offers & Loyalty summary's Send now covers last calendar month — if that month had no offers or loyalty activity, it tells you so instead of emailing an empty report. All report types are free — none of them uses your email allowance.

Weekly summary email

A short branded email recapping last week's bookings, covers and revenue, sent to your report recipients. Available on Pro plan and above.

Scheduled PDF report

A branded PDF analytics report sent automatically, weekly or monthly, as a secure download link. Available on Pro plan and above.

What's in it: the first page has your headline figures — bookings, covers, average party, average bookings a day, no-show and cancellation rates, walk-ins and money in — each with its change against the same number of days just before (a rate's change is in percentage points; where there's nothing earlier to compare with, it shows a dash rather than a guess), then bookings over time, your busiest days and times, booking status and where bookings came from. The second page is your money: sales by channel with refunds and tips, the same counted-once figures as the Payments page and the Reports page's Sales tab for those dates, plus any no-show and late-cancellation fees charged. A third page appears only if you use them: Order & Pay (with your top dishes), gift cards, loyalty, and no-shows and cancellations. Stripe's fees and payouts aren't in it.

Monthly pack email

When a month's accounts pack is made, this emails a secure download link for each file — nothing is attached, and the links work for 30 days. Switch on the Monthly pack email row and save. Available on Pro plan and above; the pack itself is made for every venue with Reports. See Reports and your monthly accounts pack.

Daily takings email

Each morning's recap of everything customers paid you the day before — not only orders. It lists what came in by channel: booking deposits and prepayments, no-show fees, extras and pre-orders, event tickets, gift cards sold, payment links, and Order & Pay orders at the table, for collection and for delivery — with how many payments each had, tips on their own line (they're not part of your sales), and every refund counted on the day it happened. Money in, Refunds and Net at the top are the same counted-once figures the Payments page and the Reports page's Sales tab show for that day; Stripe's fees and payouts aren't part of them. No customer is named in it.

On a day with Order & Pay orders the email also carries the order detail: how many orders, dish sales (the menu value of what was ordered), average order, your top dishes, a per-channel breakdown where you take collection or delivery, and the VAT contained in the sales if you've entered a VAT number (worked out on what customers actually paid after any discounts). Refunds on the day's orders, offer discounts and loyalty rewards are called out as their own lines; the VAT figures deduct refunds that recorded their VAT rates, and a refund with no rate record is named and not deducted (never guessed). Dish sales and the takings above can differ — an order paid in cash or on your own card machine, a gift card, a discount or a delivery fee all move one and not the other — and the email says so.

This email replaced the daily Order & Pay sales summary. If you had that one switched on, you're already getting this one, to the same people, with nothing to do. Available on any paid plan, or with Gift cards, Tickets or Order & Pay. Off by default. Free — it never uses your email allowance.

It arrives at 7am covering the previous day. A day with no money sends nothing — unless a refund happened, because money going back is worth knowing about. A closed day never generates a £0.00 email. Rejected (refunded) orders are named separately and never counted as sales.

What arrives

The weekly summary is a quick branded email for you; the PDF digest is a polished, branded report suitable for business partners or your accountant, and its email greets each recipient by name where ResoFlow knows it. Neither replaces the live Analytics page — they're snapshots.
